Scannable checklists allow you to print off a stack of checklists, hand them out to be completed, and scan them in at a later time - while getting the full advantage of checklist run history.

Understanding Scannable Checklists

Scannable Checklists come in two types: Generic and Coded

When you generate a scannable checklist, it will contain a few barcodes which identify the workspace and specific checklist.

Scannable Checklists are tied to a specific version of a checklist - if you later edit the checklist (e.g. to add/remove steps), the scannable checklist will still work and show the steps at the time the checklist was created.

Generic vs Coded Checklists

Generic Checklists are a checklist you can print off/photocopy, complete, and scan in to TerseFlow as many times as you like.

Coded Checklists are uniquely barcoded - when you generate them you will receive a PDF (or other format) with repeated pages of the same checklist, but each page will contain unique barcodes.

A Coded Checklist can only be scanned once - if you attempt to scan the same coded checklist twice, it will show as a warning, until an Admin approves or invalidates one of the scans.

Scanning a Checklist

You need to create a scannable checklist at least once first: check out the below sections.

  • If you are logged in:

    • Click Scan from the top-right

  • If you are logged out:

  • Enable the camera (if on mobile) and take photos, or upload images from your computer, for each page of the checklist

If a checklist has been deleted, you will receive an error, and won't be able to scan in the checklist.

For best results, make sure you take a photo in good lighting, or use a scanner. Make sure you can read the checklist, and that the barcodes are not covered or blurred.

Creating Generic Checklists

  • Open the checklist

  • Click the Share/Export button on the top-right corner

  • Click on Enable Scanning

    • You only need to do this step the first time

  • Select Generic

  • Click on Download

From here you can print off the exported checklist as many times as you like. To scan it back in, refer to the section on Scanning

Invalidating Previous Exports

If you want to disable any previously generated generic checklists (e.g. so old versions can't be scanned in), turn scanning off for the checklist then turn it back on

Creating Coded Checklists

  • Open the checklist

  • Click the Share/Export button on the top-right corner

  • Click on Enable Scanning

    • You only need to do this step the first time

  • Select Coded

  • Select the number of Coded Checklists you wish to generate

  • Click Generate

Invalidate Old Coded Checklists

If you want to disable any previously generated coded checklists (e.g. so old versions cannot be scanned in), turn scanning off for the checklist then turn it back on

Reviewing Scanned Checklists

Scanned checklists will show up in the run history for the appropriate checklist, just like a regular run completed in the browser. You will be able to review the original image, and any Checklist Fields will show the relevant section of the original scanned image

Turn Scanning Off

  • Open the checklist

  • Click the Share/Export button on the top-right corner

  • Click on Disable Scanning
